The applause fades by Monday. What remains is data — if you collect it. Post-event evaluation is how a single success becomes a repeatable system: it tells you what to keep, what to cut and what the numbers actually say to the people funding the next one.

Ask while the memory is warm

Send attendee surveys within 24 hours, while impressions are vivid. Keep it short — five questions maximum — and mix a score with one open prompt: “What should we do differently next time?” Response rates collapse after 48 hours, so automate the send before doors even open.

Reconcile the budget against the experience

Line up final spend next to satisfaction scores. The over-budget lounge nobody mentioned and the under-budget workshop everyone loved are equally valuable findings. This is also where you prove ROI: cost per attendee, per lead and per press mention, ready for the next proposal.

Debrief the crew, then write it down

Hold a 30-minute debrief with vendors and staff within a week, and turn it into a one-page playbook: timings that worked, suppliers to rebook, failures and their fixes. File it where next year's team will actually find it.

Evaluation is unglamorous, but it compounds. Three evaluated events in, you stop guessing — and your budgets, sponsors and attendees can all feel the difference.
